Thompson Hine LLP, an AmLaw 200 firm, is globally recognized for business innovation. Due to exciting firm growth, we are seeking an Information Governance Data Analyst to join our Cleveland office. Assist department in the adherence of its retention policies and procedures including through the presentation of destruction projects that will ensure retention policies are being maintained.
Responsible for applying retention policies to information in all relevant repositories. These duties will be conducted to ensure compliance with all regulatory, ethical and industry standards. Furthermore, this position serves as a liaison between the Firm’s departments to align best practices to Information Governance (IG) standards. Act as a resource in electronic search and retrieval. Ensure adherence to content categorization, security, and retention.
JOB FUNCTIONS AND RESPONSIBILITIES
- Monitor and implement records retention project management and assist with the destruction of files on schedule.
- The function of this job will include prioritizing projects for destruction in accordance with our retention policies utilizing advanced data analytical skills
- Assemble data from multiple sources into a comprehensive listing of individual records retention projects with the inclusion of several exclusionary data points such as intrinsic document status, risk word presence, client retention exemptions, etc.
- The ability to filter data points and explain how the data adheres to policy
- Ensure tasks and special projects are completed within deadlines.
- Act as an IG subject matter expert in all ways.
- In the absence of an in-office IG Clerk or Specialist, an IG Analyst will fulfill additional departmental responsibilities such as:
- Send/deliver files to and from offsite storage.
- Prepare and deliver physical files.
- Operate a scanner to image records.
REQUIRED QUALIFICATIONS
Education, Training and/or Experience
- Bachelor’s degree, MBA preferred
- Advanced Proficiency in Excel required
- 5 to 7 years’ experience in either Records or Information Governance preferred
- Minimum 3 years at a law firm or related industry
Knowledge, Skills, and Abilities
Individuals must possess the following knowledge, skills, and abilities, or be able to explain or demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodations through some other combination of skills and abilities.
- Project Management Skills and Data Analysis
- Identification of defensible destruction and review cycle
- Ability to work with IG Specialists and to train team on defensible destruction process including the delivery of methods and ability to respond effectively to a lay audience anticipating and answering questions.
- Defensible Destruction of client materials in compliance with industry best practices.
- Ability to provide ad hoc training for users of all abilities.
- Experience actively participating and ideally leading a large-scale document retention and destruction project.
- Experience with knowledge management, due diligence and data analytics is a plus.
- Ability to provide leadership and oversight to encourage best practice adherence at both the departmental and firmwide level.
- Ability to develop professional relationships with attorneys, staff and other departments.
- Proficiency in law firm records and IG practices.
- Advanced knowledge of all firm repositories containing electronic and physical information and data.
- Ability to manage data regardless of format.
- Ability to utilize queries and reporting tools to troubleshoot issues and provide information to internal clients, including but not limited to Excel, FileTrail, Iron Mountain Connect and Access FileBridge.
- Possess excellent written and verbal communication skills.
- Possess excellent technical and analytical abilities.
- Demonstrates ability to understand the big picture and both identify and provide potential solutions to workflow bottlenecks. Demonstrate an ongoing commitment to staying abreast of firm wide issues and recommend other procedural improvements.
- Possesses interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of clients, attorneys, and staff and is a team player.
Compensation is determined upon the market in which the position is located, the responsibilities of the position, the experience and skills of the applicant, and other job-related factors. The estimated salary range for this Cleveland position is $61,000 to $76,500.
