We are seeking an experienced Administrative Assistant to support multiple Directors and the wider CPS&O, EMEA team. The successful candidate will be self-motivated, proactive, quick-thinking, flexible, and resilient, with the ability to successfully juggle diverse responsibilities. You must have a strong emphasis on organization, unwavering attention to detail, and a genuine interest in planning team activities and events. This is a demanding and fast-moving position that requires someone who can exercise good judgment and significant initiative to keep our team running smoothly.
Key responsibilities include, but are not limited to:
Manage complex calendars for several Directors located in Amsterdam and Rome, including scheduling internal and external meetings with multiple parties across various time zones.
Provide support and coordination for projects and initiatives, such as creating presentations and organizational charts, and updating trackers with key business data and information.
Communicate effectively with multiple teams across multiple functions, ensuring clarity and alignment.
Organize various events, including team offsites and training sessions.
Coordinate domestic and international travel arrangements for the Directors as required.
Manage administrative tasks such as raising purchase orders, reconciling expenses, maintaining Google group distribution lists, circulating NDAs/contracts, and updating documents on behalf of the Directors and the wider team.
Work effectively with administrators and coordinators within the larger Content team and across various functions (e.g., Production, Post Production, Marketing, Finance, and other internal partners).
Collaborate with Assistants across our wider EMEA teams.
Skills and experience:
3 or more years of experience as an administrative assistant supporting at Director level or above.
Experience working with international teams and across multiple time zones.
Ability to manage multiple projects simultaneously and work effectively both independently and as part of a team.
Strong organizational skills and attention to detail.
Resilience and flexibility to adapt to changing priorities.
Proficiency in Google Suite and comfort with using online tools.
Willingness to make informed decisions and propose creative solutions.
Ability to handle confidential or sensitive information with discretion.
Fluency in English and proficiency in at least one other EMEA language (e.g, French, Spanish, or Italian), at a level that supports effective communication with partners in that language.
