This role will be based in our Washington, D.C. office, on an in-office basis.
Position Summary
The Executive Assistant provides high-level support to a team of attorneys and directors by providing a wide range of complex technical, document processing and administrative services in the assigned department. The successful candidate will effectively manage all aspects of the professional responsibilities of the assigned attorneys and directors. In addition to supporting attorneys and directors, the Executive Assistant will be responsible for managing a team of Legislative Assistants, providing guidance, oversight, and coordination to ensure the team operates efficiently and meets the demands of the practice group. This includes delegating tasks, monitoring workloads, and serving as the primary point of escalation for the Legislative Assistant team. Candidate should be flexible to work overtime as needed.
Key Responsibilities
Manages and maintains busy calendar, email and telephone; schedules appointments
Prepares and organizes travel arrangements
Maintains client files, updates contact lists
Drafts letters and correspondence (including word processing and proof reading)
Conserves attorneys and directors time by reading, researching and routing correspondence
Monitors, screens, responds to and distributes incoming communication
Processes reimbursement expenses, heavy expenditure reporting and credit card reconciliation
Manages client billing and collections, time entry
Heavy client contact for coordination and to assist with the management of client relationships
Supervises and manages a team of Legislative Assistants, including assigning and delegating work, monitoring performance, providing day-to-day guidance, and serving as the primary point of escalation for team-related matters
Coordinates workflow between Legislative Assistants and attorneys/directors to ensure timely and efficient completion of assignments
Assists in the onboarding and training of new Legislative Assistants and supports their ongoing professional development
Coordinates client engagement and conflicts process
Assists in business development initiatives and filings
Collaborate effectively with Administrative Support Coordinators, Legislative Assistants, and other members of the legal support teams
Utilize firm resources efficiently to achieve desired outcomes
Assist with overflow work and special projects as assigned

Extremely organized, detail-oriented, able to multi-task and prioritize their workload and work well under pressure
The successful candidate should be a self-starter, forward-thinking, action-oriented and focused
Excellent interpersonal skills and the ability to collaborate well in a team as well as work independently
Strong attention to detail and ability to manage time effectively
Requires the ability to work under pressure to meet strict deadlines
Excellent verbal and written communication skills
Learn quickly to adapt to new situations
The ability to respond outside of normal business hours
Education & Prior Experience
This position requires a minimum of 5 years' experience as an administrative or executive assistant, in a professional administrative position in large or medium size law firm
Bachelor's degree preferred
Technology
Proficiency with Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook required, as well as document management and other office technologies
The expected pay range for this position is:
$47.04 - $58.58 per hour
Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law. Full time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, short term disability, long term disability, dental insurance, vision care, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, 401K, vacation, sick time, and an employee assistance program.
