The PRG Executive Coordinator will manage the government relations and strategic communications support staff and the daily administrative tasks for section heads, partners, other professionals and staff in the firm’s Government Relations and Strategic Communications groups, including calendar management, coordinating travel, and supporting office events. This challenging role requires meticulous attention to detail, excellent organizational skills, and the ability to anticipate needs. Salary Range: $88,000 - $105,000.
Key Responsibilities:
Provide high-level administrative support to section heads, partners, and other professionals in the firm’s government relations group.
Supervise and manage a team of professional staff, monitoring performance, providing day-to-day guidance, and serving as the primary point of escalation for team-related matters.
Manage complex and dynamic executive calendars, including scheduling internal and external meetings.
Manage incoming and outgoing correspondence, emails, and phone calls on behalf of the section head with professionalism, accuracy, and discretion. Exercise strong judgment in prioritizing communications and determining appropriate responses or escalation.
Coordinate domestic and international travel plans including flights, accommodations, ground transportation, and meeting logistics. Prepare detailed travel itineraries and ensure all arrangements are executed seamlessly, anticipating changes and resolving issues as they arise.
Prepare client invoices in conjunction with the Billing Department; assist with monitoring of account statuses.
Prepare and monitor fee earner time entries.
Prepare and submit expenses and invoice reimbursements through Cosine Expense Reporting
Organize and coordinate meeting logistics, including catering, scheduling meeting rooms, and video conferences.
Prepare reports, presentations, and other materials as needed.
Serve as the main point of contact and gatekeeper to government relations section heads and strategic communications section heads.
Help to plan and execute company events, including offsite, and team-building activities,
Assist with the onboarding of new employees, providing logistical support and helping to coordinate orientation and training.
Support the ongoing professional development of the team’s professional staff.
Collaborate with various departments to optimize operational efficiency and drive strategic initiatives.
Support administrative Political Action Committee (PAC) work
Support the section heads with ad-hoc projects and tasks as needed.
Qualifications:
5-7 years of experience providing executive support or a similar role.
Experience supervising people is preferred.
Proficiency in Microsoft Office Suite and expense systems.
Strong communication skills, proactive, organized, detail-oriented, and self-motivated with a strong attention to detail.
Ability to anticipate needs and manage high-urgency tasks within shifting priorities.
Comfortable working in a fast-paced, dynamic environment
Bachelor’s degree required.
