Job Description
Responsibilities:
Client & Visitor Experience
Greet, welcome, and direct clients and visitors with a polished, professional demeanor
Escort clients to meeting rooms and ensure hospitality standards (beverages, room readiness) are met
Register visitors with building security and manage issuance of access badges or credentials
Front Desk & Communications Management
Operate and manage a multi-line switchboard, answering, screening, and routing calls
Respond to general inquiries and direct matters to appropriate attorneys or staff
Maintain accurate logs of calls, visitors, and front desk activity
Conference & Meeting Coordination
Schedule conference rooms and manage meeting calendars using firm systems
Coordinate logistics including catering, technology setup, and visitor office assignments
Resolve scheduling conflicts and communicate changes to internal stakeholders
Administrative & Operational Support
Process incoming/outgoing mail, courier deliveries, and maintain delivery logs
Perform clerical tasks such as filing, scanning, data entry, and document handling
Maintain reception and conference areas to firm presentation standards
Order supplies and support office inventory management
Security, Compliance & Confidentiality
Monitor and adhere to building and firm security procedures
Safeguard confidential client and firm information
Assist with emergency procedures and escalation of issues when necessary

Experience & Qualifications
Minimum Requirements
High school diploma or equivalent required
1–3 years of receptionist, front desk, or administrative experience (professional services environment preferred)
Preferred Requirments
Experience in a law firm, corporate office, or other high-volume, client-facing environment
Exposure to legal terminology, practice management systems, or conference services support
Experience supporting multiple stakeholders (attorneys, clients, vendors) simultaneously
